I spent Thurs & Friday evenings & the week-end (more hours than I care to think about) struggling to choose 12 people out of 29 volunteers. The job was made even harder because the volunteers were not divided evenly between regions. One region had 3 or 4 and one had 13. And, there weren't that many people who volunteered who also had something to do with the archives or Special Projects. Because I had to choose two people per region, 2 for the archives & 2 at-large I had to pass over some really good people in the big regions. It would have been so much easier if I could have just selected 12 people - period. And, it would have been nice if I could have just selected all of you on the ESC who volunteered for the EC. But I couldn't do that either. I had promised that the EC would be a cross section of the project. So I tried to pick people I knew something about, some people I know nothing about but who volunteered for the first time and a couple of people who were really upset (and vocal) about the last election. I only had 2 SCs & 1 Asst SC volunteer and I needed the SCs represented. The asst SC was from a region where there were only 4 volunteers and 1 of those withdrew at the last minute. Anyway I ended up with 1 SC & 2 Ass'ts. (One of those just got "promoted" to Asst SC yesterday.) I guess you can see that by last night I was wondering why the heck I agreed to let Holly nominate me for this job. I hated to have to write the e-mail to the people who were not chosen. That's always so hard because they were volunteering and they might not do it again . It was especially hard to do for the people I really like. Anyway I sent everyone who was selected an e-mail asking that the confirm that they still want to serve and as soon as I get answers back from all 11 I'll submit the list to the AB and see what happens. In with all of my struggles I managed to get the EC e-mail list in the process of being transferred over from Tim to me so that will be ready whenever a decision is made by the AB. I signed up for free web space on Rootsweb in the name of the Election Committee so that whoever ends up chair will only have to do a change of e-mail address and not have to go thru a bunch of mess trying to change it all the time. Betsy Mills is helping me out with that. I guess that's about all that's going on right now. I just re-read this e-mail and it's really jumbled up but I guess you all will get the idea. Everyone take care and I'll talk to you later. The Board Secretary has requested that I explain the criteria I used for the selection of the proposed members of the Election Committee. Let me begin by saying that no-one (other than me) had any input into the selection of the slate of proposed Election Committee members. I did not solicit any advice from anyone nor did I talk to anyone about the list of volunteers or make it available to anyone. I received no suggestions or recommendations from anyone. As far as I know the only two people (besides myself) who knew who had volunteered were Holly & Tim. Therefore the proposed list of EC members was and is my individual choice. That said - I used the following criteria to chose the volunteers I submitted to the AB: I had stated both on the Election Study Committee's (ESC) list and on the ALL list that I, personally, wanted the Election Committee (EC) to be good cross section of the project and for the EC to be as far removed from the politics of the Project as possible. I felt for this objective to be possible it was necessary for the committee to be made up of a combination of (1) Volunteers who were unknown (unknown meaning that they hadn't before served on a Project Committee and were not active contributors to any of the three CC lists) (2) Volunteers who had been very vocal about their unhappiness with prior elections (3) Volunteers who were known to me (or that I knew about) who would be hard workers for the committee but with no affiliation with any political fraction within the project (4) Volunteers to represent the State Co-Ordinators and the non-standard sites, such as the archives and Special Projects. With those objectives in mind: 1. I visited each volunteer's web site. I spent time looking at what the volunteer was offering to their visitors and how active their site seemed to be. 2. I browsed the archives for the ALL list using each volunteer's name and spot checking messages 3. I sent an e-mail to each volunteer asking that they tell me a bit about themselves, what jobs they performed for the project and why they wanted to serve on the EC. In this e-mail I also asked them if they had the time available to spend on the EC this first year when the Committee would probably be the most busy. 4. I kept track of the answers to my e-mails and how long it took the person to respond. 5. In some instances I corresponded with the volunteer, getting more information or asking for clarification. 6. I sent 3 more e-mails to the volunteers who did not respond to my first one. There were 29 individuals who volunteered. The ESC Guidelines required that the EC be made up of two members from each region, two members from the archives and/or Special Projects and two members at large. The pool of volunteers was not evenly divided within the regions. One region only had 2 people plus 2 who also qualified in other regions and one region had 11 plus 2 people who qualified for other regions. There were also 4 people who withdrew. There were no volunteers from the Special Projects and only 2 SCs and 2 Asst SCs who volunteered. Therefore the selection process was extremely difficult. I first eliminated those volunteers who did not respond to any of my 4 e-mails. If they couldn't/wouldn't respond to e-mails at this stage I felt it would be doubtful if they would actively participate in the Committee's Business. >From the remaining volunteers I worked within each region and chose 2 volunteers. From the very few volunteers who worked for the archives I chose 2 and then I chose myself and one of the SCs as members at large. The final proposed slate of EC Members includes the following: Two people who have been very vocal and unhappy about past elections. One State Co-ordinator One Town Co-ordinator (a group who, in the past, has been under represented) Two county archivists Three"unknown" people One person known to be an excellent "peacemaker" One person who in real life is active in campaigning and who wants to work hard to involve the members of this project. And the 12th member is me. If you have any further questions I'll do my best to answer them. I enjoyed working with everyone and it was great to see how well so many different people could work together. I also want to thank everyone for your support of me for EC Chair. I really appreciate it. I don't know if I had it to do over again I'd do it Maybe I should be blaming you guys instead of thanking you????? And, I really miss those early morning donuts and the other fattening things everyone kept offering! I do want you to know that the EC is working hard to turn our Guidelines into reality. Each of us should be proud of what we produced and I think we'll each be even prouder when we can see the final result of our labor. Everyone take care and I wish each of you the best. Hopefully we'll get to work together again in the future.
